Property transaction coordination
Preparing a property key handover record in Cyprus
Organise keys, access devices and practical handover records around confirmed property-completion arrangements.
Treat keys as a practical handover task
A clear key record helps the parties understand what access items are expected, where they are held and when they are due to change hands. It is a practical coordination document. It should follow the completion arrangements confirmed by the appointed lawyer rather than deciding when possession is legally due. Start the record early enough to locate missing items, then keep the agreed timing separate from any provisional moving plan.
List more than front-door keys. Depending on the property, there may be entrance keys, gate remotes, parking controls, storage keys or access cards. Record the item, the opening or device it serves and the number you expect to provide. If you are unsure what a spare key operates, mark it unresolved. A small pile of unidentified keys creates a poor handover even when every item has physically arrived.
Establish who holds each item
Ask the seller to identify any access item held by another person, such as a household member, caretaker or appointed contractor. The record should show what needs to be collected without publishing private contact details unnecessarily. Assign collection responsibility and a target date. Avoid assuming that every duplicate can be recovered instantly, especially if the property has been used by several people over time or access arrangements have recently changed.
Use neutral labels on the working list. Photographing a key next to the full property address and circulating it widely is unnecessary. Keep sensitive access information in a channel agreed for that purpose. The aim is to document what must be handed over, not to create a convenient public map of how to enter the home. Ask the responsible provider about device-specific security questions rather than guessing from a remote's appearance.
Separate keys, codes and account access
Physical keys are only one category. Record electronic access arrangements separately, identifying the system and the person who can explain the handover process. Do not place passwords in the general inventory or a public document. A connected device may require an account-transfer procedure or professional support. Confirm the appropriate process with the manufacturer or responsible service provider instead of sending an existing account password to the buyer.
For example, a gate remote, a building access card and an internet-connected door controller may each need a different handover action. A remote can be counted as an object; a card may have a building-management process; a connected controller may depend on an account. Keep those tasks distinct. A successful test of one item should not be used to mark every access arrangement complete or to imply that all former permissions have been removed.
Agree a test that fits the arrangement
Where appropriate, plan a simple demonstration so the receiving party can identify which item operates which opening. Confirm who will attend and whether a caretaker or specialist is needed. Record the actual result rather than writing that all systems are perfect. If an item cannot be tested, note why and identify the follow-up. Do not force unfamiliar equipment or enter an unsafe area just to make the list look complete.
Keep replacement and security decisions separate from the count. The buyer may wish to discuss locks or access permissions with a competent provider, but the handover record should not pretend that a particular change is mandatory in every case. Ask who will arrange any agreed work, when access is permitted and who pays under the actual arrangement. The appointed lawyer should deal with any question about contractual responsibility or the timing of possession.
Make the moving plan depend on confirmed timing
Removal companies, deliveries and cleaning appointments often depend on practical access. Mark proposed times as provisional until the responsible parties confirm them. A mover's preferred slot should not determine the legal completion sequence. Share the operational constraints early so that the lawyer and the parties can identify a workable arrangement. Avoid promising a delivery team access that you do not yet have authority to provide.
Relocated publishes relocation-planning services that can be relevant when a property move also involves arriving from abroad. A coordinated moving brief can help organise arrival dates, temporary accommodation questions and household logistics. Agree the specific scope directly rather than assuming a relocation provider controls the property transfer. Keep the move plan connected to the confirmed key-handover timing so that one uncertain appointment does not silently become a firm promise to several suppliers.
Record the handover without overcollecting information
Prepare a short receipt or checklist showing the property reference, date, parties attending, items delivered and any exception. Ask the appointed lawyer whether a particular form or wording is needed for the transaction. The practical list should accurately reflect the exchange that occurred. Avoid adding statements that all contractual obligations are satisfied unless the responsible professional has explained the position and the parties intend that statement.
If two gate remotes were expected and one is delivered, record the difference clearly. Identify the proposed next action and its owner rather than crossing the missing item off. If the record is corrected later, retain the dated correction with the original. You do not need a complex system to preserve a reliable account, but you do need to avoid making the completed checklist tell a different story from the actual handover.
Keep Properly's case status aligned with the evidence
Properly can help the participants keep the practical handover task, related questions and supporting records connected. A completed task means that the assigned coordination action has been recorded. It does not itself establish that ownership transferred or that a bank payment completed. The accepted lawyer confirms the relevant professional stages under the engagement. Keep the practical receipt linked to that process without treating a button press as the official event.
After handover, review whether any access items, device instructions or agreed follow-up tasks remain outstanding. Send the receiving party the current practical list through the appropriate channel. Keep confidential credentials out of shared messages and ask the relevant provider about secure changes. A well-prepared key handover leaves the new occupant able to identify what was received, while keeping legal completion and technical security decisions with the people responsible for them.
Questions about your next move.
Does handing over keys itself prove title transfer?
No. The appointed lawyer must confirm the transaction position and completion arrangements.
Should account passwords go in the shared key list?
No. Ask the responsible provider about the appropriate account or device handover procedure.
