Start with the facts that both parties need for practical coordination: the property reference, proposed timetable, requested documents and the actions each person has agreed to take. A clear brief avoids asking the same question in several email threads. Record whether an answer is supplied, still being checked or confirmed by the responsible professional. Keep shared coordination separate from confidential advice. The participants and administrator can see the shared material. A question about a viewing time is different from advice about whether to accept a clause. Agree the appropriate private route with your own lawyer before sending sensitive information.
